01 What kind of business is Zana for?
Any business that bills the same customers on a cycle - water utilities and SACCOs, estates and apartments, schools, gyms and clubs, internet providers, waste collection, security and facilities firms, agencies, clinics, and subscription businesses. If you raise the same invoices every month and chase the same people for them, that's the job Zana is built for.
02 Is Zana a utility billing system, a CRM, or an invoicing tool?
One system with all three inside. Invoicing is always on; metered Utility Billing and CRM campaigns switch on when you need them. They are not separate products bolted together - they share the same customers, the same ledger, and the same follow-ups, so a customer's balance is a single number no matter which part of Zana raised it.
03 How does Zana use AI?
AI assists your team across the suite - drafting invoices and messages, flagging anomalies, and planning collections - while you stay in control. Every suggestion is grounded in your own data and waits for a human to approve before anything is sent or posted.
04 Do my customers need an account?
No. Customers pay through a secure link - there is no sign-up and no app to install. Only your team signs in to Zana.
05 How do customers pay?
M-Pesa is the default - the customer opens the pay link and approves the STK push on their phone, with no account or app. Card payments work through the same link. If they'd rather pay into your paybill, till, bank account, or hand over cash, your instructions are printed on the invoice and the payment is reconciled back to it.
06 What if a customer pays straight into my bank or paybill?
Upload the statement and Zana reconciles it. It reads M-Pesa and bank statements as CSV, Excel, or PDF - including scanned ones - pulls out every incoming transaction, and proposes which invoice or utility account each one settles. You confirm or correct the matches, then commit them in one go. Re-uploading an overlapping statement never double-posts a payment.
07 Can I send bulk SMS or WhatsApp messages?
Yes - it's part of CRM. Send bulk SMS and WhatsApp campaigns to your contacts and segments, with reusable templates, delivery tracking, and automatic opt-out handling. Campaigns are available on Pro and above; turn the module on from your workspace and start sending.
08 Does it support metered billing for water or electricity?
Yes, with the Utility module - postpaid. Capture meter readings, configure tiered tariffs and standing charges, then run a billing period to generate invoices for all accounts at once. Those invoices collect through the same pay links and reconciliation as everything else. It does not vend prepaid tokens or read meters over the air.
09 Does it handle VAT?
Yes. Set your tax rate (16% by default) and it is applied and clearly shown on every invoice and receipt.
10 Can I bill the same customers every month?
Yes. Recurring plans generate and send invoices on a schedule automatically, so repeat billing runs itself.
11 Can I send money out, not just collect it?
